FILL THE ROOM

The complete checklist for putting on highly attended, profitable LinkedIn virtual events - from planning to post-event follow-up.

🎯
Phase 1 — Event Foundation & Setup
0/0
Choose a compelling, specific topic that solves one urgent problem for your audience
Avoid broad topics — "How to stop losing your best employees in 90 days" beats "Employee Retention"
Write a punchy event title with a clear result or promise Critical
Set the event date and time - aim for Tuesday, Wednesday, or Thursday at 12pm or 4pm ET
Avoid Mondays and Fridays. Check for competing events in your niche that week.
Create the LinkedIn Event (use LinkedIn Events feature - not just a post)
Write a compelling event description - lead with the pain, promise the transformation, list 3 specific takeaways
Upload a branded event cover image (1920x1080px recommended)
Set up your Zoom (or LinkedIn Live) link and test it
Create a registration/landing page if capturing emails (InfluencerSoft or SuiteDash)
LinkedIn Events don't give you emails - a separate landing page lets you build your list
Decide on your "ethical bribe" - the live-only bonus that rewards attendees who show up
Options: exclusive PDF, live Q&A access, downloadable template, live-only discount, free audit
Prepare your slide deck or visual content in advance (not the night before)
Plan your CTA - know exactly what you're inviting people to do at the end
🤝
Phase 2 — Find & Activate JV Partners New
0/0
Identify 10-20 potential JV partners with large LinkedIn followings (5K+ followers in your niche)
Search LinkedIn for HR, L&D, leadership coaches, consultants, or speakers with engaged audiences
Search LinkedIn Groups in your niche - find admins/owners of groups with 1,000+ members
Target: HR groups, leadership groups, talent management communities, coaching communities
Identify newsletter owners in your space with engaged subscriber lists
Look for LinkedIn Newsletter authors with 2,500+ subscribers - check their "newsletter" tab on their profile
Look for podcast hosts whose audience overlaps with your ideal attendee
HR, L&D, leadership, culture, and management podcasts are your sweet spot
Identify association leaders (SHRM chapters, ATD chapters, local HR associations) who can blast your event to their members
Find Alignable connectors with large local networks who serve business owners or HR leaders
Reach out to JV partners at least 2-3 weeks before the event
Give them enough runway to promote to their list - last-minute asks get ignored
Create a simple "JV partner promo kit" - 2-3 done-for-them LinkedIn posts they can copy/paste
Make it effortless. The easier you make it, the more likely they'll actually post.
Offer JV partners a reciprocal arrangement - agree to promote their next event or offer in return
Consider offering JV partners affiliate commission if event has a paid upsell or productOptional
Follow up with JV partners 3 days before event - send a reminder with the link and thank them
After the event, send JV partners results ("87 people attended, great response") - builds goodwill for next time
📣
Phase 3 — Pre-Event Promotion
0/0
Announce the event on LinkedIn 2-3 weeks out with a curiosity-driven post (not just "join my event")
Lead with the problem/pain. The event is the solution - but don't bury the lede.
Invite your 1st-degree LinkedIn connections to the event using LinkedIn's built-in "Invite" feature High Impact
You can invite up to 1,000 connections per event. Prioritize HR, L&D, and leadership titles.
Post 3-5 content pieces in the days leading up leading - tie each post to your event topic with a CTA to register
Story post → Stat post → Tip post → Controversy/hot take post → Final reminder post
Send personal DMs to 20-50 warm connections who are highly relevant to the topic High Impact
Not a blast message - personalized 2-3 sentence DMs. "Thought of you specifically..."
Post in relevant LinkedIn Groups (where allowed) - lead with value, mention event at end
Add event link to your LinkedIn profile "Featured" section for the promotion period
Add event to your LinkedIn banner or update your headline temporarily to reference it
Send email blast to your list (SuiteDash or InfluencerSoft) with event link - at least 2 sends
Send #1: Announcement (10-14 days out). Send #2: "Last chance" (1-2 days before).
Promote in your Alignable community and any relevant local/national business groups
Post a short teaser video (60-90 sec) 5-7 days before the event - tell them exactly what they'll walk away with
Use your LinkedIn Newsletter to announce the event if you have subscribers
Set up automated reminder emails through your platform (24 hours, 1 hour, and 15-min before)
🪄
Phase 4 — Maximizing Show-Up Rate
0/0
Remind registrants what the live-only bonus is in every email reminder
People forget why they registered. Re-sell the reason to show up - especially the exclusive bonus.
Post a "doors open in 24 hours" LinkedIn post the day before - create genuine excitement
Post a "we go live in 1 hour" LinkedIn post on event day
Send a personal day-of DM to your top 10-15 VIP connections who registered
"Hey [Name] - excited to see you in a bit. Looking forward to your questions today."
Tease something "surprising" or "unannounced" you'll share ONLY during the live event
Create urgency: limit the live-only bonus - "Only available if you attend from the start"
Ask 2-3 trusted colleagues/clients to commit to attending and engaging in the chat
Warm chat activity early on encourages others to engage. Nobody wants to comment first.
🎙️
Phase 5 — During the Event
0/0
Go live 5-10 minutes early and do a casual warm-up while people are joining
Ask attendees to drop their name and city in the chat. Creates momentum before you start.
Open with a strong hook - a stat, story, or provocative question (NOT "Can everyone hear me OK?")
Acknowledge people by name as they comment in the chat Retention
Use polls or chat prompts every 10-15 minutes to re-engage the room
Keep energy high - stand up if possible, use gestures, vary your pace
Remind attendees at the midpoint: "Stay to the end for [live-only bonus]"
Deliver the content you promised - no bait and switch, give real value
Make your CTA/offer naturally - frame it as an invitation, not a pitch
"If you want to go deeper on this with me, here's how we can work together..."
Save/record the session for repurposing (make sure recording is enabled)
Have a notepad to capture questions and names of highly engaged attendees for follow-up
🚀
Phase 6 — Post-Event Follow-Up & Repurposing
0/0
Within 24 hours: send a thank-you email to all registrants (attendees + no-shows) Do Not Skip
Different emails for attendees vs. no-shows. No-shows get a recording link (or a tease of it).
Send a personal follow-up DM on LinkedIn to your top 5-10 most engaged attendees
Post a "thank you + key takeaway" recap post on LinkedIn within 24 hours of the event
Upload the recording to your course platform (InfluencerSoft) or repurpose as gated lead magnet
Run recording through Castmagic or Minvo to extract clips, quotes, and content ideas
Pull 3-5 short clips (60-90 seconds) for LinkedIn, repurpose with Minvo or BigVu
Write a LinkedIn article or newsletter issue based on the event content
Add new registrant contacts to SuiteDash CRM and tag them properly
Nurture non-buyers with a 3-5 email follow-up sequence leading to your next offer or event
Collect 2-3 testimonials from attendees while excitement is fresh - DM and ask directly
Note what worked and what didn't - update this checklist for next time
Schedule your next event within 30-60 days while momentum is high
